This section outlines the payment options available on our platform, as well as the essential conditions that allow you to maintain control over your bookings. It also addresses cancellations and no-shows, providing tips to minimize their impact. With these insights, you will be able to manage customer-related operations with confidence and ease.

Choose a Customer Payment Method

When a customer books a stay at your accommodation, you have the option to offer them various payment methods, such as online payment, on-site payment, or both. How your customers pay you depends on the payment options and conditions you set up during registration. You can find these in the Accounting tab of your extranet.

Beedy Payments

Depending on your business location, you may be eligible for the Beedy Payments service. With this service, we manage all customer payments for you. You receive guaranteed bank transfers for all your bookings, in accordance with the conditions set for your business.

The time it takes to receive bank transfers may vary based on your business location. Please note that payments may be temporarily suspended until your location is verified and your tax information is provided.

  • More Payment Options for Your Customers: It is easier for travelers from all countries to book your accommodation — we partner with payment providers worldwide.

  • Fewer Cancellations: People who opt for online payment at the time of booking are less likely to cancel their stay compared to those who choose to pay on site.

  • Secure Card Handling and Fraud Protection: We securely manage all aspects of the payment process on your behalf, including issues related to invalid credit cards, payment disputes, and fraudulent bookings.

Manage Customer Payments Independently

If you prefer to manage your customers' payments independently or if you are not yet eligible for Beedy Payments, you will be responsible for all aspects of the payment process, including any associated fees.

If you accept credit cards, you can charge customers before their arrival, upon arrival, or at departure, depending on the terms of their booking.

If you do not accept credit cards, customers can pay in your local currency upon arrival or departure. If you wish to request a prepayment or a security deposit, you will need to contact the customer to agree on a payment timeline and handle that payment yourself.

Managing Cancellations and No-Shows

When a customer cancels a booking, your cancellation policies will determine whether they need to pay any cancellation fees. By offering free cancellation options, you can attract more travelers, but it's important to minimize the impact of cancellations and no-shows on your business.

If you decide to waive the fees for a no-show, we will ask that you mark the reservation as a no-show within 48 hours of the scheduled departure date. This simple step will prevent you from having to pay the commission for that booking.

Best Practices for Cancellations and No-Shows

There are several conditions and practices you can implement to reduce the impact of cancellations and no-shows on your business. Here are some best practices recommended by Beedy.

Review Your Conditions and Rates: You may consider making your cancellation policies stricter during certain periods when cancellations are more frequent. Alternatively, you could offer attractive rates to attract new customers at the last minute.

Diversify Your Pricing Plans: Set up different pricing plans in the extranet, combining flexible options with non-refundable rates and plans for early bookings. By offering more choices to your potential customers, you can secure more bookings and reduce cancellations, while ensuring revenue through non-refundable rates.

Security Deposit and Prepayment Conditions

Establishing conditions related to security deposits and prepayments can help you strike a balance between protecting your interests and providing the flexibility your customers seek. These conditions inform customers whether they need to make a payment before their stay and the date they will be charged.

Unexpected situations can arise that prevent a traveler from honoring their reservation. In such cases, being flexible can contribute to a more positive customer experience and lead to more favorable feedback.

How to Report Inappropriate Customer Behavior?

In the unlikely event of a negative experience with a customer, we are here to help. You can report any incident to Beedy through the extranet or the Pulse app by using the 'Report Inappropriate Customer Behavior' feature.

All reports must correspond to one of the scenarios provided in the reporting tool and must be submitted within a timeframe ranging from the customer's arrival date to 7 days after their departure.
